Guidelines for Telehealth and Video Assisted Independent Medical Examinations

As we are currently navigating the COVID-19 pandemic as a result, the number of telehealth assessments have significantly increased. Telehealth assessments are a useful alternative to face-to-face assessments that are conducted using videoconferencing platforms such as Skype or Zoom.

Below are some guidelines relevant to all legal and insurance referrals we consider essential to consider when requesting Independent Medical Examinations using Telehealth and video conferencing platforms:

Requirements from Referring Party  
  • Briefing material and all completed client registration forms and questionnaires to be available no less than 5 working days hours before scheduled consultation,
  • Laptop or desk top computer with camera is to be used,
  • Acknowledgement that a face-to-face examination may be required at a later date.
Unsuitable for
  • Clients with poor English language skills,
  • Clients unfamiliar with computer-based videoconferencing platforms SKYPE or ZOOM,
  • Clients needing an interpreter to be present,
  • Clients needing a physical examination to obtain a Permanent Impairment Determination,
  • Clients without access to quiet and undisturbed location with good lighting,
  • Clients without access to laptop or desk top computer with camera and microphone.
Requirements for SKYPE
  • The examinee must provide a valid SKYPE address 5 working days before the examination is scheduled. This will be tested and confirmed by INDEX 48 hours before the examination is scheduled,
  • All times for examinations are the Examinee’s LOCAL time.
Requirements for ZOOM
  • A meeting ID with or without password will be sent to referring party for distribution to the examinee,
  • All times for examinations are the Examinee’s LOCAL time.
Video Conferencing Examination may be Suitable for
  • Indicative Impairment Determination (not requiring a physical examination),
  • Permanent Impairment determination when remote (surrogate) practitioner is present,
  • Permanent Impairment Determination with delayed physical examination at a later date,
  • All Psychological Evaluations including Psychiatric Impairment Determination (PIRS).
Requirements from Examinee
  • Consultation to occur in private uninterrupted location without distractions,
  • No other individuals are to be present during examination or consultation,
  • All non-essential mobile devices to be turned off during the consultation,
  • Loose fitting clothing that may be easily removed should be worn,
  • There is to be no recording of consultation,
  • Laptop or desk top computer to be used for videoconferencing,
  • Mobile Phones or IPAD devices are unsuitable for examinations using videoconferencing.
